Excel vs an Inventory App: 7 Signs It Is Time to Switch

By the Fascinora team · 6 November 2026

Almost every business starts with a spreadsheet, and that is the right call. Spreadsheets are flexible, free and everyone knows how to use them. But there is a point where the spreadsheet starts running the business instead of the other way round.

Seven signs you have outgrown it

  1. Two people edit the same file and one version gets lost. Shared files help, but conflicts and accidental overwrites still happen.
  2. You cannot answer “how much stock do we have?” without calling someone. If the answer depends on who last updated the sheet, it is not a system of record.
  3. Month-end reports take a full day. Copying, filtering and fixing formulas every month is time an app would give back.
  4. Only one person really understands the file. When they are on leave, work slows down or stops.
  5. Mistakes are found weeks later. A wrong number typed in one cell can quietly flow into orders and invoices.
  6. Customers ask for updates and nobody has the answer at hand. Status lives in someone’s head or inbox, not in a shared screen.
  7. You need different people to see different things. Spreadsheets are poor at “sales can see prices, the warehouse cannot”.

What an app changes

  • One live source of truth that everyone sees at the same time
  • Rules that stop bad data at the moment it is entered
  • Roles and permissions, and a log of who changed what
  • Reports that are always up to date, with no copy and paste
  • Screens that work on the phones your team already carries

How to switch without disruption

Start with the one process that hurts most, usually stock or orders. Build that first, import the existing spreadsheet, run both in parallel for two weeks, then retire the sheet. Add the next process only after the first is working well.

With modern metadata-driven tools, a first version can be live in weeks, not months, and your team can keep adjusting fields and reports themselves.
